If I’m Paying for Your Event, I Need to Know the Details

I can’t tell you how many events I’ve signed up for where the registration confirmation didn’t include the basics: when, where, what to bring, and what to expect.

Then the logistics show up a day or two before the event, that is if they show up at all.

That’s not acceptable. And it’s not just a minor inconvenience. It’s a failure of care.

When someone signs up for an event—especially a high-ticket one—they’re not just planning for your event. They’re planning their life around it. They’re figuring out who’s watching the kids. They’re calculating travel time. They’re deciding whether they can take the day off work or rearrange their week. They’re thinking about what to bring, what to wear, what to prepare for.

When you don’t give them that information upfront, you make it impossible for them to plan. And when you send it last-minute, you tell them their time and logistics don’t matter.

The Welcome Email

This is the part most organizers skip. It shouldn’t be.

Within 24 hours of someone signing up, they should receive a welcome email. Not just a receipt—a welcome. Something that says:

  • Thank you for signing up. We’re so glad you’re coming.
  • Here’s what the event is, and what it’s for.
  • Here’s the rough location and how far it is from the nearest town.
  • Here’s what to expect, what to bring, and how long it will last.
  • Any remaining logistical details will be sent out to your attendees by a certain date.

That email does two things: it gives people the information they need to plan, and it makes them feel held. It tells them they’re not just a transaction. They’re a guest.

Why This Matters Even More for Ceremonies and Circles

This is especially true for ceremonies, rituals, circles, and seasonal gatherings. These aren’t just events—they’re experiences. People need to know what they’re walking into. What to bring. What the container will be like. How long it will last. Whether they need to prepare anything beforehand.

If you’re holding a ritual, people need to know what kind of space they’re entering. If you’re holding a seasonal gathering, people need to know what to bring. If you’re holding a circle, people need to know what to expect from the container.

The Baseline

At registration:

  • Date, time, and rough location
  • What’s included and what isn’t
  • What to bring
  • What to expect
  • Refund and cancellation policy
  • A welcome email within 24 hours

Before the event:

  • Exact location (a few days before)
  • Final logistics (parking, entrance, what to wear)
  • A clear schedule or flow
  • Contact info if something goes wrong

This isn’t complicated. But it does take time, attention, and systems. And if you’re a practitioner or a teacher, you’re probably already stretched thin.
